Bankenkloof Private Game Reserve Standard Terms & Conditions of Service
These conditions are necessary to ensure the well-being of our valued Guests and the orderly continuance of the Lodge.
1. Reservations and Payment and Terms
1.1. The Lodge operates on a self-catering basis and does not provide or arrange other services such as meals, personal laundry, transport, tours, and babysitting.
1.2. Reservations will not be confirmed until the booking form and proof of payment are provided to us at which time, we will send a confirmation form with relevant reservation details to the guest.
1.3. Payment Terms/Cancellations: A 50% deposit is required to secure bookings within 48 hours of date booking was made. The balance is payable in full 2 days before arrival.
1.4. Cancellations
If cancelled or modified up to 14 or more DAYS before arrival date, 0% of the total price of the reservation will be charged and there will be 100% refunded.
If cancelled between less than 14 DAYS before the arrival date, there will be no refund of the deposit.
1.5. Payments
EFT is the preferred method of payment. We do not have credit card facilities, nor do we accept cheques.
The guest retains personal liability for the bill until the employer, agent, or person that made the reservation on his or her behalf has settled it.
Rates are subject to change without notice. Quotations are valid for 48 hours unless otherwise specified and will be subject to availability upon acceptance.
In the unlikely case of a double booking, the payment that reflects in the bank account first will secure the accommodation and the later payment will be refunded in full.
Refunds on cancellations will only be made after payment has been finally cleared by the bank. This process can take more than 30 days
Quote totals will not be reduced should you be fewer guests than originally specified.
1.6. Breakage Deposits
1.6.1 Refundable breakage deposit is R800 on the Bankenkloof Lodge and the Buffalo House.
Refunds are processed within max 3 days of departure.
No cash refunds will be issued on departure.
2.Arrival and Departure
2.1. Check-in time is between 13:00 and 17h00 unless prior arrangements have been made.
2.2. Check out time is by 11:00 unless prior arrangements have been made. This is to enable the room to be prepared in time for new arrivals. Late check-outs may be charged for.
3.Parking and Access
3.1. Should you need to bring more than three vehicles per unit please do inquire about the availability of parking. One set of keys is provided per unit. The cost of replacement keys is R500.00.
3.2. No visitors will be permitted without permission. We accept no responsibility for any loss or damage.
3.3. Parking is reserved for guests only.
4.Service Hours
4.1. The office is contactable from 08:00 to 18:00 on weekdays and from 9:00 to 17:00 on weekends and public holidays. The caretaker’s after-hours contact number is 082 335 8852
5.Security
5.1. Although the Lodge takes reasonable steps to ensure the safety and security of guests and their possessions guests retain final responsibility for their safety and security.
Ensure that the units are closed in the event of a hike or game drive.
Please close windows and lock the units on departure. The keys to be left in the living area. The Bankenkloof staff will collect the keys and do a final check.
The Lodge is situated in a game reserve. Be cautious of all wild animals during your stay.
No pets are allowed.
6.Braai/Entertainment Facilities and rules
6.1 The Lodge has a private braai area and no open fires are permitted except in the designated fire pits.
No collection of firewood in the reserve is allowed.
Two complimentary bag of firewood will be supplied. Additional firewood is available at R20.00 per bag.
Please do be considerate when it comes to noise levels. No loud music is permitted.
Swimming in the dam or swimming pool will be at your own risk and kids are not allowed to swim without adult supervision.
No fireworks to be let off on or around the property.
Fishing in the dam is allowed on a catch and release basis.
No self-drive permitted. Game drives can be booked.
7.Plumbing/Electrics
Please be considerate when it comes to the use of the plumbing and electrics.
Kindly switch off most lights when not in a room and ensure the outside lights for your unit are switched off in the morning.
The Lodge has septic tanks and guests are requested not to flush any sanitary items or baby nappies down the toilets.
8.Smoking
No smoking in the units and lounge area, please.
9.Loss or Damage to Property
9.1. The guest in person is liable for any loss or damages (excluding wear and tear) to the property of the Lodge.
10.General Incapacity
10.1. Management cannot be held liable if any of the following events or conditions prevent us from fulfilling our obligation to guests:
10.1.1. Unanticipated interruption to the electricity, water, sewage to or from the Lodge.
10.1.2. Industrial action, civil uprising, or criminal activity.
10.1.3. Fire, frost, flooding, subsidence, or any other force major event.
11.Indemnity and Exemption of Liability
The management and /or the owners of the Lodge accepts no liability or responsibility for any injury or loss incurred by a guest or any visitor during his/her stay at the Lodge or activities in the reserve and indemnifies the management and/or owners against any claim that may arise from any injury or loss incurred as aforesaid.
